FileMaker has long been known for software that seems to do the impossible—marry relational-database power with impressive ease of use. The $299 (direct) FileMaker Pro 10 solidifies that reputation. A dramatically improved interface with toolbars, tooltips, and quick-start screens guides you through the design process faster than ever before. The new Report Assistant helps users present data in a variety of useful formats. Web features, too, have improved with better PHP capabilities, a new Web-site building option that has ten themes, and iPhone support. This version also supports the Excel 2007′s XLSX format. I like the changes a lot—they make database development more intuitive, and small businesses won’t be disappointed. Big corporate users will likely find Microsoft Access a more useful tool, however.

This new version of FileMaker Pro can also connect to an external SQL database, and it supports Software Management Services and IPv6. These features are critical to those who use FileMaker in larger, corporate settings, and they should extend the reach of users who want to develop their own databases.

In our tests, we were able to quickly find and replace, create, delete, and edit records in our 500,000-record database. The wait times were very short: A simple search that took FileMaker Pro 9 about 6 seconds to complete took less than 3 seconds. For better search time and overall efficiency, we recommend running FileMaker Pro 10 on a computer with at least 1GB (or even 2GB) of RAM rather than the recommended 512MB.

A less cosmetic, more substantial improvement in FileMaker 10 is a new saved-and-recent finds feature. Do you define the same finds over and over again—for example, Q4 sales, or unpaid invoices, or your favorite contacts? FileMaker 10 keeps track of your finds and lets you re-execute them without having to switch to find mode and reenter criteria over and over again. The recent finds feature is a bit like the list of recently-opened databases in the File menu or the history feature in your Web browser. And if you want to keep a find around permanently, you can simply save it, the way you might bookmark a favorite Google search.

Different status toolbars are displayed for the Browse, Find, Layout and Preview views, and each of them can be individually customised. You can hide or show the status toolbar, but you can’t revert to the old vertical status area. This is bound to cause some temporary irritation, since many fixed-size layouts that use the status area will need re-designing to accommodate the change. The benefits are worth the effort, however, and it’s a long-overdue change.

Another long-awaited improvement, which will delight FileMaker developers, is that script triggering has finally been built in. No longer do you need to rely on third-party plug-ins, because scripts can now be triggered by a comprehensive list of events including entering, leaving or modifying a field, changing layouts, committing a record and more.

The scripts and apps also ran about 15 percent faster, although FileMaker says it made only small performance tweaks in this upgrade. A frequently run, complex script–one that imports about 28,000 records from an Oracle database (as well as local records from Excel), then manipulates them and generates various reports–took an average of 53 minutes to complete in FileMaker 9, and only 45 minutes in FileMaker 10. Perhaps even more impressive, this company does all its work in FileMaker Pro, not Advanced. Unlike most relational databases, the entry-level version is not dumbed down. The Advanced version adds features needed only by custom application developers.

FileMaker Pro makes it easy to share data across a network so up to nine FileMaker Pro users (Mac or Windows) can simultaneously access a single database file. For larger groups, FileMaker Server 10 supports up to 250 simultaneous FileMaker Pro users while FileMaker Server 10 Advanced supports up to 999 people. You can also convert information into Microsoft Excel or Adobe Acrobat files and e-mailed to others.

Something that FileMaker Pro pioneered and does well is publishing databases to the Web. Here, FileMaker Pro supports up to five simultaneous Web users. And for more capability, FileMaker Server 10 Advanced supports additional Web users.
